Who owns the number
Once a product has stock in any warehouse, its quantity comes from its warehouses. You can no longer type the product's quantity directly on the product page; you change it per warehouse under Stock by warehouse.
- Simple product: quantity = available stock across active warehouses.
- Product with variations: each variation's stock comes from the warehouses; the product total is the sum of its variations.
Products that aren't in any warehouse keep their single quantity as before.
What changes warehouse stock
| Event | What happens |
|---|---|
| Order placed | Units come out of the default warehouse first, then the others in fulfilment order. |
| Order cancelled or refunded | Units go back to the warehouses they came from. |
| Point-of-sale sale | Units come out of the register's warehouse. |
| Return restocked | Units go into the warehouse you pick. |
| Purchase order received | Units go into the receiving warehouse. |
| You edit, import, transfer or move between bins | As you entered, with the reason you chose. |
Things that don't change warehouse stock
- The catalog CSV import (Products → Product Import/Export) writes the product quantity only. For warehouse products, use the warehouse's own Import CSV.
- Bulk stock edits on the product list skip warehouse products.
- Products using Advanced Inventory (per-unit tracking) are managed there and are read-only here.
Going live: Check stock
Older orders lowered a product's quantity but not its warehouses, so the two can disagree. Warehouses → Check stock lists every item that differs. For each one choose Warehouse figure or Product figure (or Put into default warehouse / Set to 0 for items in no warehouse), or click Use warehouse numbers for all. Then Apply. Each choice is recorded in History.
