Approvals
Approvals stop large purchase orders going out without a second person checking them.
Turn it on
On the module's Configure screen:
- Approval needed at or above — the PO total that needs approval, in paise for a rupee store (5000000 = ₹50,000). 0 switches approval off.
- Allow self-approval — leave off unless you work alone.
Give approvers the Approve purchase orders permission.
Which POs need approval
- Any PO with a total at or above the amount. ₹49,999 against a ₹50,000 limit doesn't; ₹50,000 does.
- Any PO in a currency other than your main one, always.
How it works
- On a draft that needs approval, click Submit for approval. The PO is locked, and your store's orders email (or admin email) gets a message with a link.
- The approver opens the PO and clicks Approve, or Reject with a reason. A rejected PO goes back to draft to be fixed.
- Once approved, send it as usual with Send to supplier or Submit to supplier.
Recall to draft brings back a PO that is awaiting approval or approved but not sent. A recalled approved PO needs approval again after editing.
Nothing skips approval: an unapproved PO can't be sent or marked as submitted.
