What is Suppliers & Purchase Orders?
This module keeps a list of the companies you buy stock from, what each one charges you per product, and the purchase orders (POs) you send them. When the goods arrive, you receive the PO and the stock is added to the warehouse you choose.
Find it at Products → Suppliers and Products → Purchase orders. It needs the Warehouses & Multi-location Stock module, because received stock has to land in a warehouse.
What you can do
- Keep each supplier's contact person, phone, email, GSTIN (tax ID), address, payment terms and lead time.
- Build a cost list: which products a supplier sells you, at what price and under their own code.
- Raise a purchase order, download it as a PDF, or email it straight to the supplier.
- Optionally require approval for large orders.
- Receive deliveries in parts and see what is still outstanding.
Important rules
- Only receiving adds stock. Changing a PO's status by hand never changes stock.
- Receiving twice doesn't double stock. A double-click or a retry is counted once.
- A supplier's price doesn't change your product's cost price. The same item can cost different amounts from two suppliers.
- Minimum order quantity is a reminder, not a rule. Nothing stops a smaller order.
