Drafting a purchase order
- Products → Purchase orders → New purchase order.
- Choose the Supplier.
- Choose the Receiving warehouse where the goods will arrive.
- Optionally set Expected date and Your reference (for example the supplier's quotation number). Your reference is searchable later.
- Click Add line for each product: choose the product, enter the quantity and the Unit cost. The supplier SKU fills in from the cost list.
- Add Shipping and Tax amounts if the supplier charges them (for example GST on the invoice). The Total is the lines plus shipping and tax.
- Save.
Lines can only be changed while the PO is a Draft. To change a PO that is awaiting approval or approved but not yet sent, use Recall to draft.
Sending it
- Send to supplier emails the PO to the supplier's email address. If they have no email on file, add one first. If you send it twice within two minutes, the second is blocked.
- Download PDF gives you a file to send on WhatsApp or print.
- Submit to supplier records that you sent it some other way.
A draft that is never sent can be deleted.
