Slots, capacity + bookings
A slot
A slot is a weekly template for one shipping method:
| Field | Notes |
|---|---|
| Shipping method | The method that offers the slot. |
| Day of the week | Sunday to Saturday. Creating a slot on several days makes one slot per day. |
| Start and end time | HH:MM in the store's time zone; the start must be before the end. Two slots of a method cannot share the same day and times. |
| Label | Optional, up to 100 characters, shown to shoppers ("Morning", "Evening run"). |
| Capacity | Orders the slot takes on each date (at least 1). |
| Status | Active or Disabled. A disabled slot is never offered; its existing bookings stand. |
A shipping method offers scheduling only while it has at least one active slot.
A booking
When an order is placed with a slot, a booking is saved with the order: the date, the slot, and a copy of the time window as it was ("09:00–12:00"). Editing the slot's times later does not rewrite past bookings.
One order has at most one live booking.
Capacity
A slot is full on a date when its live bookings reach its capacity. A booking counts only while its order is live: an order that is cancelled, refunded, failed or voided frees its seat at once, with nothing to do by hand.
- An unpaid order holds its seat until it is cancelled or fails.
- A cancelled order that is reactivated takes its seat back without a capacity check.
The seat is taken inside the order itself, under a lock on the slot, so two shoppers can never take the last seat.
Where bookings show
| Place | What it shows |
|---|---|
| Order view (admin and vendor) | A Scheduled delivery card. |
| Orders list | A Delivery column (date, time and label) and a Delivery date filter, so you can list one day's run. Both appear while the module is on. |
| Vendor orders list | A Scheduled delivery column (and a line on each mobile card) whenever an order on the page has a booking. |
| Packing slip | A delivery line in the order header, on the printable slip and in the PDF, for the whole order and for each shipment. |
| Order emails | A Delivery row in the order confirmation, the new-order email to the store and the vendor's new-order email (the standard texts; an edited email keeps your text, so add {{delivery_date}} and {{delivery_window}} yourself). |
| Scheduled Deliveries tab | Every booking with order, customer, date, time slot, method and order status. |
Bookings keep showing on orders after the module is turned off.
Scheduled Deliveries
Logistics → Delivery Scheduling → Scheduled Deliveries lists bookings by delivery date.
- By default only bookings of live orders are listed. Turn on Show cancelled bookings and orders to see the rest.
- Cancel booking frees the seat for another order. The order itself is not cancelled.
- Change date/time (calendar icon) moves the booking. The same button is on the order page's Scheduled delivery card.
Change a booked delivery
Needs Manage orders. Open the order (or Scheduled Deliveries) and choose Change date/time:
- Pick a date. The dialog lists that day's slots for the order's shipping method with how many are booked. Holidays, past dates, today after the cut-off and days with no slots say why they can't be used.
- Pick a slot. A full slot needs Book anyway (over capacity) switched on.
- Optionally switch on Email the customer: the order update email is sent with the old and new delivery.
- Save new delivery time. The old slot's seat is released at once, and a line such as "Delivery rescheduled from 2026-10-22 10:00–13:00 Morning to 2026-10-23 16:00–19:00 Evening by [email protected]" is added to the order's admin notes.
The cart's processing days don't apply to a change made by an admin, and you can move a booking up to a year ahead.
Disable or delete a slot
- Disable takes a slot out of the calendar at once; booked orders keep their delivery time.
- Delete removes a slot that has never been booked. A slot with bookings is disabled instead, so those orders keep their delivery time, and the page tells you so.
